Board Job Descriptions

Chairman*
- Preside at board meetings.
- Author board agendas.
- Appoint and assist committees.
- Manage group development.
- Manage according to policies and bylaws.
- Maintain organizational integrity.
- Support the director and staff.
- Represent the student/family interest.
- Present the Chairman Elect with all information pertaining to the Chairman position at the end of his/her term.
- Attend new parent orientation.
Chairman Elect*
The Chairman Elect works closely with the Chairman during the Chairman's second term. This structure allows for smooth transition into the duties and responsibilities that will become solely his the following year. While serving as Chairman Elect, the board member should maintain active involvement serving or chairing various board committees as needed. In addition, the Chairman Elect should be able to conduct board meetings in the absence of the Chairman. The Chairman Elect must be present/conduct the new parent orientation at the beginning of his term. The Chairman Elect must present all information pertaining to his position to the new board member coming into this position at the end of term.
Treasurer*
- Know and communicate the school's financial resources.
- Advise to the sufficiency of those resources to operate the preschool's programs.
- Maintain and keep accurate and current financial records.
- Project a realistic and adequate budget for the attainment of the school's stated objectives.
- Work with the director to ensure all expenditures are properly managed.
- At the end of his term, must present all information pertaining to the Treasurer position to the new Treasurer.
- Attend new parent orientation.
Secretary*
- Take and maintain on file the minutes for all board meetings.
- Distribute monthly minutes to all board members.
- Present minutes for accuracy and amendment each month at board meetings.
- Attend new parent orientation.
- At the end of his term, must present all information pertaining to the Secretary position to the new Secretary.
* Denotes an executive board position and requires attendance at full board meetings as well as executive board meetings.
Liaisons
Director and Teacher Liaison
- Communicate one on one with director regarding his/her annual evaluation completed by the teachers/staff and represent the board in making any board-recommended modifications of the evaluation
- Participate with the director in communicating the teacher/staff evaluations completed by the director and represent the board in making any board-recommended modifications of the evaluation.
- Communicate with the director or teachers any areas of board concern; personal, professional, or preschool related.
- Receive information from the director or teachers any areas of board concern; personal, professional, or preschool related.
School Family Liaison (must have 1 parent volunteer to assist)
- Communicate with families any concerns regarding policy, operations, or staff at the preschool.
- Meet with school families via preschool orientation.
- Plan and delegate Mom's Brunches, Promise Parents Together, Meet the Teacher Picnic, Cowboy Meadows and any other student/family involvement opportunities.
- Communicate to board any family concerns or need for information.
- Participate in updating the parent handbook.
Church Liaison
- Attend church board meetings, representing the interests of the preschool.
- Receive communication from church for presentation to the board.
- Communicate with the church about upcoming board meetings/events.
Standing Committees (must involve at least 1 board member and at least 1 parent)
Annual Evaluation Committee
- Conduct written evaluation of preschool that includes input from the director, teachers, and parents.
- Evaluate preschool curriculum, learning centers, and play equipment through observation and communication with staff.
Board Development Committee
- Identify new candidates for board membership each year.
- Determine number of new members needed annually.
Advancement and Development Committee
- Identify the development needs for the school and its programs.
- Identify and focus on fundraising opportunities.
Technology Development Committee
- Develop and maintain internet web site for Promise Christian Preschool.
- Develop and maintain communication and involvement of families through the internet.
Task Force Committees (set up throughout the year as needed, i.e., search committee for hiring new staff)
Search Committee
- As the need for staff arises, set up a committee of parent volunteers (no more than a total of four on the committee) to establish communications that post the open position (newspaper advertisements, College/University postings, Church bulletins, ACSI website, etc).
- Follow the Employee Interview/Hiring Policy to screen and interview potential candidates.
- Maintain a file of information about phone numbers, postings, advertisements, and other contacts that can be presented to the next person taking this position.
